Receptionist, Böblingen

Our Team

You will be part of the secretarial and administrative team providing complete reception support for the Böblingen. You will report into the Böblingen Office Manager and will work alongside assistants, associates and partners.

Our Opportunity

In this role, you will be responsible for a wide range of secretarial and administrative support duties. You will handle telephone inquiries, greet our visitors, make arrangements for conferences and meetings, and maintain the reception area. You will also deal with confidential and sensitive matters while working for partners. You will work on a variety of documents, arrange travel and itineraries, as required. Extensive diary management, and co-ordinating meetings and agendas will feature in the role. As a result, an excellent command of written and spoken English is required.

Tasks will vary day to day and will include preparing and proofreading correspondence, maintaining client and administrative files, duplicating correspondence and maintaining office supplies, as and when required. You will also be required to deal with firm bistro duties, order couriers and taxis and be involved in the general daily tasks of a busy law firm. In this dynamic and busy role, no two days will be the same!

You

You must have proven previous reception service experience within a professional services environment. As this role has numerous responsibilities, you will need to be an organised, proactive individual who can easily prioritise a varying workload. You will need to have the flexibility to assist other colleagues when required and have an enthusiastic attitude when doing so. You should also be able to use your initiative and spot where help is needed with limited supervision.

As you will be dealing with clients of the firm, excellent telephone and communication skills are key for this role. In stressful situations you always keep a friendly smile and a clear head. Ideally, you will have strong academics with a good knowledge of all Microsoft packages; however, service-oriented working, reliability and a quick perception are a must!

Office Manager, Warsaw
Full Time (flexibility required)

We are seeking an innovative and experienced Office Manager to join our team in Warsaw. This is an opportunity to work autonomously, interacting with a variety of key stakeholders from our internal team as well as our suppliers. This is a varied opportunity where you will be very much involved in managing the operations of the Warsaw office, as well as have the opportunity to be involved in projects appointed by the International Director of Operations.

Our Team

Reporting directly to the Office Managing Partner and International Director of Operations, you will be directly responsible for the smooth running of the Warsaw office. The role is concentrated around four primary categories: general management, financial management, human resources, facilities and office operations.

Our Opportunity

Your role will be to deliver high quality, cost efficient services whilst managing and developing the staffing team in Warsaw in order to continually improve performance. We are seeking someone who has the ability and previous experience in identifying and implementing creative solutions to enhance, productivity, efficiency, effectiveness of operations, systems and procedures and team building, communication, composition and dynamics.

The role will be responsible for coordinating and managing the business services team in the Warsaw Office, to ensure high standards, compliance with local laws and regulations, ensuring the office is adhering to Firm policies and procedures, ensuring continuity of service and to promote, develop and maintain a culture of team work and excellent service for both clients and colleagues.

You

This role is ideal for an experienced Office Manager that has the tenacity to work alongside key stakeholders and confidently and appropriately manage their expectations. You will clearly demonstrate your ability to handle conflicts and how you can be flexible in your approach. You will easily work as a part of a team whilst motivating, recognising and rewarding people fairly and consistently.

You must have a good level of proficiency across all MS Office programmes, an understanding of financial systems, budgets, legal documents and a good level of verbal and written English.

You will have a university degree and at least 7 years related work experience with comparable scope and responsibility, preferably in a law firm or other professional service environment, including supervisory experience.

IT Support Analyst, Paris

Our global IT team is currently seeking an IT Support Analyst to join our team in Paris. This role is responsible for supporting the end-user community in Paris with any technology-related questions or concerns.

We require a minimum of three years’ computer operations experience, preferably in a Windows or other client-server environment, knowledge of client-server networks (Windows environment, specifically) and other network topologies, as well as an ability to diagnose, troubleshoot and resolve hardware and software-related issues in a Windows environment. Experience with document management systems is preferred, as well as some legal industry experience. The person in this role should have strong skills in Microsoft Office, Outlook, mobile device management and remote access management (for example VPN or Citrix).

An excellent understanding of the French and English languages (written and oral) is essential for this role to ensure a high standard of service to our Paris clients.

Scheduled hours are Monday-Friday, 40 hours per week. There is periodic overtime, evening and holiday hours in this role.

Billing and Credit Assistant, Finance Department, Paris
Monday – Friday (40 hours per week)

Are you looking for a new Billing and Credit Assistant role? Then this role could be for you! We are looking for a brand new Billing and Credit Assistant to join our busy Paris team. You will need to have at least five years’ relevant experience and have an excellent command of spoken and written English. Previous experience in a law firm is highly advantageous and strong communication and organisational skills are a must.

Our Opportunity

In this role, you will provide effective and accurate Billing and Credit support to the firm’s internal and external clients. You will need to ensure that the workload is actioned quickly and accurately to provide a seamless and efficient service to the business. As the main point of contact, you will work alongside the UK Finance team and the Paris Office Manager to co-ordinate the billing and credit processing for the Paris office. 

You

Due to the nature of this role, you must have a minimum of five years’ relevant experience in a similar area and be highly proficient in spoken and written English. Although comprehensive in-house training is provided, it will be beneficial for you to have strong knowledge of Elite and also a sound understanding of French Accounts rules.

You must be able to use initiative and work comfortably in a team environment. Confidentiality should also be used at all times, as you will be dealing with personal and sensitive information.
